This Privacy Policy explains how Amaichat LLC ("Amaichat," "we," "us," or "our") collects, uses, and protects information when you use our AI receptionist platform. We are committed to protecting your privacy and handling your data responsibly.
1. Information We Collect
Information you provide directly
- Name, email address, and phone number when you sign up or book a demo
- Business name, address, and industry when creating an account
- Payment information processed securely through Stripe (we never store card details)
- Messages and content you configure for your AI receptionist
Information collected automatically
- Usage data such as pages visited, features used, and time spent
- Device information including browser type, operating system, and IP address
- Cookies and similar tracking technologies to improve your experience
Information from your customers
- When your customers interact with your Amaichat AI receptionist, we collect their messages, phone numbers, and any information they share during conversations
- This data belongs to you as the business owner — we process it on your behalf
2. How We Use Your Information
- Provide, operate, and improve the Amaichat platform
- Process your payments and manage your subscription
- Send appointment confirmations, booking reminders, and support messages on your behalf
- Respond to your questions and provide customer support
- Send product updates and announcements (you can opt out anytime)
- Comply with legal obligations and prevent fraud
3. SMS and Messaging
- Messages are sent through Twilio's infrastructure in compliance with US carrier regulations
- Your customers can opt out at any time by replying STOP
- We do not use your customer phone numbers for our own marketing purposes
- All messages comply with TCPA and A2P 10DLC regulations
4. Sharing Your Information
We do not sell, rent, or share your personal information with third parties for their marketing purposes. We share information only with:
- Service providers who help us operate our platform (Twilio, OpenAI, Stripe, AWS)
- Legal authorities when required by law or to protect our rights
- Business transfers in the event of a merger or acquisition (you will be notified)
5. Data Security
- All data is encrypted in transit using TLS 1.2 or higher
- Data at rest is encrypted using AES-256
- Access to customer data is strictly limited to authorized personnel
- We work toward SOC 2 Type II compliance standards
6. HIPAA Considerations
If you are a healthcare provider, contact us at privacy@amaichat.com to discuss a Business Associate Agreement (BAA). HIPAA-ready configurations are available on professional and enterprise plans.
7. Data Retention
- Your personal data is deleted within 30 days of account closure
- Conversation logs are deleted within 90 days of account closure
- We may retain anonymized, aggregated data for analytics
- Some data may be retained longer if required by law
8. Your Rights
- Access — request a copy of the data we hold about you
- Correction — ask us to correct inaccurate information
- Deletion — request that we delete your personal data
- Portability — receive your data in a machine-readable format
- Opt-out — unsubscribe from marketing communications at any time
